Grain Inventory and Contract Platform for Field Operations

A single, synced source of truth for seeding, spraying, grain storage, and buyer contracts, replacing spreadsheet chaos across the whole operation.

Client context

A mid-sized grain farming operation was running seeding, spraying, inventory, and contract work across a patchwork of paper sheets, spreadsheets, and an external yield-tracking system. Field crews, the office staff, and the grain buyer each held their own version of the truth, and reconciling them happened by hand at the end of every season.

The challenge

  • No single source of truth. Seeding and spraying records lived on paper; inventory sat in spreadsheets that drifted from what the external yield system reported. Re-keying data between systems was constant and error-prone.
  • External data felt like a black box. The yield-tracking system held the authoritative operators, fields, crops, trucks, and harvest transactions, but the team couldn't query that data alongside their own contract and storage records, let alone reconcile it on demand.

The solution

A farm operations platform with a sync layer that pulls external yield data on demand and caches it locally, so every screen reads from one source instead of three tools.

What it is: a typed, role-protected internal platform that unifies field operations, grain inventory, buyer contracts, and external yield data behind a single authenticated interface.

  • Seeding and spraying sheets with per-tank chemicals, shims, soil/crop stage, and weather capture
  • Grain inventory across bins, bags, and dryers with certified vs. commercial classification and field assignment
  • Buyer contracts with settlements, dockage handling, and unit conversion per commodity
  • Material transfers between storage locations, including losses, with full history
  • Seed planning across fields with per-acre rate calculations
  • Mobile-responsive inventory workflows for in-yard use

Outcomes

  • One authenticated entry point with role-based gating so only admins can touch settings and cost data.
  • Two-way integration with the external yield system: fields created in-app can be posted back, not just read.
  • Mobile inventory workflows added after the client's crews started using the app in the yard rather than the office.
