RavenRend ("we," "us," or "our") operates the website at ravenrend.com, the API at api.ravenrend.com, and provides custom software development services on a fixed-price, project-scoped basis. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have.

By creating an account, submitting a project, or using our website or services, you agree to the practices described in this Policy. If you do not agree, please do not use our services.

1. Information We Collect

1.1 Account information

When you create an account through our authentication provider (Clerk), we collect and store:

  • Email address (we only keep verified email addresses)
  • First and last name
  • Profile image URL
  • Clerk user identifier

Authentication credentials (passwords, OAuth provider data, multi-factor authentication factors, and session tokens) are managed by Clerk and not stored in our database.

1.2 Project information

When you submit a project, we collect:

  • Project name
  • Free-form project description, including any links you provide (such as documents, wireframes, or competitor examples)
  • Survey responses from our project scoping survey, which may include project type, user scale, key features, technical requirements, integrations, non-functional requirements (including any compliance standards such as GDPR, HIPAA, PCI-DSS, or SOC 2), risks, design state, infrastructure ownership, timeline, budget range (if you choose to provide it), and success criteria. Branch-specific questions may ask for further detail depending on project type.

1.3 Files you upload

You may upload documents related to your project. We accept PDF, images (JPEG, PNG, GIF, WebP, SVG), Microsoft Office documents, plain text, CSV, and ZIP archives up to 50 MB. We store the file name, type, size, and upload metadata. Files are private and stored in encrypted object storage.

1.4 Quote and deliverable documents

We generate and upload quote or proposal documents (and, where applicable, deliverables) to your project. Metadata about these documents (name, type, size) is stored in our database.

1.5 Support communications

If you contact us through our in-app support form, we collect the subject and message you submit. Email sent to hello@ravenrend.com is handled by our email provider and forwarded to our team.

1.6 Technical and usage data

  • We use Google Analytics to understand website usage. This may collect aggregated usage data and set cookies such as _ga and _gid.
  • Our servers log standard request metadata (such as request method, path, status code, and response time). We do not log request bodies.
  • We use Google Fonts to render our website typography.

2. How We Use Your Information

We use your information to:

  • Provide you with a fixed-price quote for your project
  • Scope, design, build, test, and deliver custom software for you
  • Communicate with you about your project and store your project files
  • Provide support and respond to your inquiries
  • Operate, maintain, secure, and improve our website and services
  • Comply with legal obligations and enforce our terms

We do not sell your personal information.

3. How We Share Your Information

We share information only as follows:

3.1 With our team

Certain RavenRend team members have administrative access in order to review your project, view survey responses, view and download uploaded files, prepare quotes, manage project status, and respond to support requests.

3.2 With service providers

We use third-party services that process data on our behalf to operate our services. These may include providers for user authentication, data storage, website hosting, email delivery, analytics, and typography. We share personal information with these providers only as necessary to provide our services, and they are permitted to use it only to perform their functions for us, not for their own purposes. Each provider processes data under its own privacy policy.

3.3 For legal reasons

We may disclose information where required by law, court order, or where we believe it is necessary to protect our rights, safety, or property, or those of others.

4. International Data Transfer

Our infrastructure is hosted in the United States (Google Cloud) and Cloudflare operates a global network. If you access our services from outside the United States, your information may be transferred to and processed in the United States, where data protection laws may differ from those in your country.

5. Cookies

We use cookies for website analytics (Google Analytics) and authentication (Clerk session cookies).

Google Analytics cookies (_ga, _gid, and related) help us understand how visitors use our site so we can improve it. These cookies collect aggregated, pseudonymous data. You can disable them through your browser settings or via Google's opt-out tools.

Clerk cookies manage your signed-in session. Disabling these will prevent you from signing in.

We do not use cookies for advertising.

6. Data Retention

  • We retain your account and project information for as long as your account is active.
  • You may delete a project at any time. Deleting a project removes the project, its survey and survey answers, and all related files from storage and our database.
  • Database backups are retained for approximately 30 days; after that, deleted data may still exist in backups until they expire, after which it is removed.
  • Server request logs are retained for a limited operational period and are not associated with your account identity beyond the duration needed for security and debugging.

To request deletion of your account and associated data, contact us at hello@ravenrend.com. We will respond within a reasonable time, subject to legal retention obligations.

7. Your Rights

Depending on your jurisdiction, you may have rights regarding your personal information, including:

  • Access — request a copy of your data
  • Correction — request that we correct inaccurate data
  • Deletion — request that we delete your data
  • Restriction or objection — restrict or object to certain processing
  • Portability — receive your data in a structured, machine-readable format
  • Withdrawal of consent — where processing is based on consent

8. Security

We take reasonable measures to protect your information, including:

  • Transit encryption (TLS/SSL) for our website and API
  • Private object storage with short-lived, scoped access URLs for file upload and download
  • Databases accessible only on the internal network
  • HTTP security headers and rate limiting
  • Non-root runtime environments for our application
  • Regular automated database backups

9. Children's Privacy

Our services are not intended for children under 13 (under 16 where applicable). We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us and we will delete it.

10. Your Choices

You can:

  • Update your profile information through your account or Clerk
  • Delete projects and uploaded files through your dashboard
  • Disable analytics cookies in your browser
  • Request account deletion by contacting us

We may update this Privacy Policy from time to time. We will post the updated version on this page with a revised "Last updated" date. Material changes will be noted at the top of the Policy. Continued use of our services after a change indicates acceptance of the updated Policy.
